How to dictate in any app on Mac

Short answer

To dictate in any app on a Mac, click where you want the text and start dictation with a shortcut. macOS has free built-in Dictation (turn it on in System Settings → Keyboard), which types a raw transcript. For finished text — filler words removed, punctuation and structure fixed — install F5Type from the App Store, press F5, speak, press F5 again, then press ⌘V to paste the result wherever your cursor is.

What are the ways to dictate on a Mac?

There are two practical routes. The first is Apple Dictation, which ships with macOS. It is free, works in most text fields, and gives you a word-for-word transcript. The second is a dictation app such as F5Type, which records what you say and returns finished text: the "ums" and "so"s gone, punctuation fixed, and — if you want — the whole thing shaped as an email, a chat message, a summary or a list of action items.

Which one you need depends on how much you dictate. For a quick reply, the built-in option is enough. If you write emails, documents and long messages by voice every day, the time you save on editing is what makes a dedicated app worth it. We compare the two in detail in F5Type vs Apple Dictation.

How do I turn on Apple Dictation?

  1. 1Open System Settings → Keyboard.
  2. 2Find Dictation and turn it on. Choose your language and the shortcut you want.
  3. 3Click into any text field and press the shortcut (on many keyboards, the microphone key).
  4. 4Speak, then press the shortcut again or click Done.

Apple Dictation types what you say. You will usually need to fix punctuation and remove filler words yourself, and it has no memory of your custom names or terms.

How do I dictate into any app with F5Type?

  1. 1Download F5Type from the Mac App Store. It runs on Apple silicon and Intel Macs with macOS 12 or later.
  2. 2Open it and allow the Microphone and Speech Recognition when asked. Both are only used while you dictate.
  3. 3Sign in with Apple, Google or an email link — or skip it and sign in later.
  4. 4Click into any text box — Gmail, Slack, Notion, ChatGPT, Cursor, Google Docs, anything.
  5. 5Press F5 and talk naturally. Rambling is fine.
  6. 6Press F5 again. F5Type cleans the text and copies it; press ⌘V to paste.
Why ⌘V? Apple does not allow App Store apps to type into other apps, so the Mac version puts your finished text on the clipboard. One keystroke and it is where your cursor is. Your text is also saved to your history.

What if F5 changes the brightness or starts Apple Dictation?

On many Mac keyboards the function row controls brightness, volume or Dictation by default. Press Fn+F5 instead, or open F5Type → Settings → Hotkey → Change shortcut and pick any key combination you like. Our guide How to set a dictation hotkey walks through good choices.

Can I hold the key instead of pressing it twice?

Yes. By default you press once to start and once to stop. If you prefer push-to-talk, go to Settings → General → Recording mode → Hold and keep the key down while you speak. On a computer, a single dictation stops by itself after 15 minutes; you can set 5, 10 or 15 minutes in Settings → General.

Does Mac dictation work offline?

Apple Dictation can run on the device for many languages on supported Macs. F5Type keeps working offline too: it uses the on-device speech recognition built into macOS, saves the recording on your Mac, and cleans the text up once you are back online. Because the audio is written to disk before anything is uploaded, a dropped Wi-Fi connection never loses a take.

Which output style should I pick?

  • Clean — your words, filler removed, punctuation fixed. The everyday default.
  • Email — greeting, body and sign-off, ready to send. See dictation for email.
  • Message — short and chat-shaped for Slack, Teams or iMessage.
  • Summary — the point of a long ramble in a few lines.
  • Action Items — a checklist of what was decided.
  • Command — an instruction shaped for a prompt or terminal.
  • Custom — your own saved instruction.

How do I make names and jargon come out right?

Add them to your F5Type dictionary: colleagues’ names, product names, acronyms, technical terms. The cleanup respects the dictionary, so "Kubernetes" or your client’s unusual surname are spelled the way you spell them. For phrases you repeat — a meeting link, an address, a standard closing — save a snippet and it will expand before the text is inserted.

Troubleshooting: my text did not appear

  • Remember to press ⌘V — the Mac App Store version copies rather than types.
  • Check System Settings → Privacy & Security → Microphone and Speech Recognition are on for F5Type.
  • Quit F5Type and open it again after changing permissions.
  • Still stuck? See the troubleshooting guide or contact support.
